The Prospect CRM connector is set up using Connect's onboarding wizard, which includes the following steps:
- Step 1 – Selecting the connector
- Step 2 – Preset
- Step 3 – Authentication
- Step 4 – Connector
- Step 5 – Contact Lists
- Step 6 – Contact List Members
- Step 7 – Contacts
- Step 8 – Organisations
- Step 9 – Activities
- Step 10 – Billing Information
- Step 11 – Summary
- Step 12 – Confirmation
- Step 13 – First import and activation
To onboard the connector, keep the following credentials at hand:
- API Key
Step 1 - Selecting the connector
When logging into Connect, click the New connector button on the dashboard. This will open the onboarding wizard.
Select the Prospect connector from the list of available connectors. If you want to move to a different tab in Connect at any time during the onboarding process, you can save the connector as a draft. When Prospect CRM is selected, click Next.
Step 2 – Preset
Currently, no presets exist for Prospect CRM. This means that you can only choose a manual configuration. Select this option, and click Next.
Step 3 – Authentication
Fill in the Prospect CRM API key, and click Next.
If the API key is not correct, one of the following error messages will occur:
| Message | Solution |
|---|---|
| We can't connect with the connector. Check if all inputs have been filled in correctly. | Recheck the API key. |
| An unknown issue has occurred. | Contact Connect support. |
Step 4 – Connector
This step allows you to customize the name of the connector. This personalized name will be displayed directly beneath the connector's logo in the dashboard. Fill in the field, and click Next.
Step 5 – Contact lists/Campaign activities
This section allows you to choose whether you would like to import campaign activities (the name in Prospect used for Contact lists in Connect) into Spotler Connect. Enabling this setting will allow Connect to import campaign activities. We recommend leaving this setting enabled. Click Next.
Step 6 – Contact List Members
Next, you select whether to import Contact List Members. This is a rather technical decision and if you have decided to enable Contact Lists in Step 5, we heavily recommend also enabling importing Contact List Members. Click Next.
Step 7 – Contacts
The contacts section provides the options to import contact data to Connect, and to export contact data from Connect to Prospect. We recommend enabling both settings for the best synchronisation of the contact data.
For the Opt-in permission to use when importing contact data you can select either "Marketing" or "Newsletter". Select which one is applicable and click next.
Step 8 – Organisations
The contacts section provides the options to import organisations (Companies in Prospect) to Connect, and to export organisations from Connect to Prospect. We recommend enabling both settings for the best synchronisation of the organisations.
Currently, it's impossible to not accept duplicate organisations in Connect from Prospect, so this setting has been locked.
For the export of organisations to Prospect, select which company type and operating company you'd like to use for new companies. Any input for these options are managed through Prospect, so if the settings you'd like to use are not available please get in touch with your Prospect Account manager. Click Next.
Step 9 – Activities
This section allows you to determine whether activities are exported from Connect to Prospect. We recommend enabling this setting. Also, check all activities that you'd like to be exported, and click Next.
Step 10 – Billing information
To continue, fill out any remaining billing information. If all information has been filled out previously, this step may automatically be skipped. Click Next.
Step 11 – Summary
A summary of the selected information for the integration will be shown. The blue underlined text is clickable and represents a configuration. Any configuration options that still need to be completed will appear as questions or placeholders on this screen, and must be configured before proceeding to the next step. Once completed, click Next.
Step 12 – Confirmation
This is the final step before the connector is activated. Once Next is clicked, the connector will be created. This means that everything is ready in order for Prospect to export data to Connect. Click Next to activate the connector.
Step 13 – First import and activation
After activation, the import progress can be tracked through the progress bars. The connector will now import data from your Prospect environment. By default, the connector will import data looking back a predetermined amount of time:
- Organisations: 10 years
- Contacts: 10 years
- Contact lists & contact lists members: All active lists and members are retrieved
This means that for this initial import, any organisation from the past 10 years will be imported into Connect. It also means that virtually any contact that has ever been created (and not deleted) will be imported into Connect as well.
Depending on the amount of data being imported, the first import can take up to an hour. This screen can be navigated away from and reopened later by clicking the Prospect CRM connector icon on the dashboard home screen.
